TTAA Policies

I. Introduction

   A. Texas Tech Alumni Association
        a. The mission of the Texas Tech Alumni Association (TTAA) is to cultivate loyalty, tradition,   service and lifelong relationships. As part of this mission, the TTAA works with Texas Tech University to maintain current alumni records. 
               i.
 The TTAA Web site at www.TexasTechAlumni.org, its sub domains and related sites are used to communicate with and inform the alumni of Texas Tech, as well as gather information about users, promote events, programs and offer services to alumni. The purpose of this document is to educate and inform users of the policies regarding the TTAA Web site, including how the TTAA collects and uses information, and notify users about the terms and conditions governing use of the TTAA Web site.

II. E-News Policy

   A. News Posting
        a. Content posted in the news section of the TTAA website and/or TTAA section of the monthly university newsletter, Texas Tech Today, is restricted to Texas Tech Alumni Association and Alumni Association related programs and/or events. No item will be posted that promotes an individual or an outside organization’s financial, personal or material gain. Alumni Association marketing staff reserves the right to decide what gets posted as well as to remove any entry for any reason.

III. E-mail Policy

   A. Unsubscribe 
        a. An unsubscribe link will be listed in all e-mails sent by the Alumni Association. By clicking on this link, the user has the power to unsubscribe from e-mails by subject.

   B. Privacy
        a. A user’s e-mail address will never be disclosed to a third party entity external to the TTAA community. The TTAA does not sell or give e-mail addresses away. The Alumni Association will use e-mail to stay in touch with the user, and if the user wishes, it is placed in the Online Directory. If the user does not want their e-mail listed in the Online Directory the user can indicate so when they
update their information.

        b.  Contractual agreements require the Alumni Association to send e-mails on behalf of the following approved programs. 
              i. PlainsCapital Alumni Home Savings Program
              ii. City Bank Rewards Checking
              iii. Llano Estacado Winery
              iv. TTAA Benefit Card
              v. Kaplan Test Prep

   C. Chapter E-mails
        a. Only Chapter presidents are allowed to send an e-mail to the webmaster to have distributed amongst their chapter. A list of addresses will never be supplied by TTAA to an external party, including Chapter Presidents.

        b. If a chapter would like for an e-mail to be sent at any time please have it to Sarah Klimek at least 3 days in advance and please include the ideal date for the e-mail to be sent.

   D. Dallas/Fort Worth and Central South Texas E-mail Policy
        a. There will be a weekly e-mail (Wednesday) sent to the two areas. All events must be included in these e-mails.  There will not be any individual e-mails sent out to the entire area. These areas include: Dallas Area, Fort Worth Area, San Antonio Area, Hill Country Area.

        b. All events must be to Dayme Walther by Monday of each week.

   E. Outside Organization Policy
        a. No e-mail will be sent that promotes an individual or an outside organization’s financial, personal or material gain. Alumni Association marketing staff reserves the right to decide what is appropriate.

IV. Online Directory

   A. Available Information
        a. The Texas Tech Alumni Association and Texas Tech University have made every effort to provide the user with the flexibility to share as much or as little information as they wish. The information the user provides is kept for the university’s records and is not shared with anyone except alumni who register online or own a print directory. The user may update their information as they wish.

        b. Through the Online Personal Profile Privacy Preferences, the user can click on
“Hide/unhide information from view in your profile.”  Check the box marked “Hide?” to control information that is viewed by alumni. Be sure to click on “Update Preferences” to guarantee all exclusions are recorded.

   B. Incorrect Information
        a. All contact information can be updated through the Online Directory. The user must be register on
www.TexasTechAlumni.org
to have access to the directory.

   C. Alumni Search
        a. If you do not find contact information for university alumni in the directory, it means either they are not participating in this service or do not wish to divulge personal information.

V. Online Registration

   A. User ID
        a. The user selects their community User ID and password upon registration. The user will use this log in information to access the community on future visits. Print the log in information page or write down the User ID and password, as the user will need to enter it each time they log in. If the user has forgotten their User ID and password, please contact feedback@texastechalumni.org.

        b. Please note: The Alumni Association will never ask for a user’s social security number during online registration.

B. Password Change
        a. Please contact feedback@texastechalumni.org for any password updates.

C. Cannot Find Name
        a. It is recommended that the user begin their search with last name only. If the user still cannot find their name after searching, please contact feedback@texastechalumni.org.

D. Already Registered?
        a. If the user has already registered with the site previously, registration is no longer required. Please enter the correct User ID and password when prompted. If the user has forgotten their User ID or password please contact feedback@texastechalumni.org.

        b. If the user has not registered but the site informs the user that they have, the user may have selected a different name from the registration list. There may be other members in the community list that have the same name. Compare the additional information provided to insure the correct name has been selected.

        c. If the user does not remember registering, or if the user is still having difficulty, please contact the Alumni Association at feedback@texastechalumni.org.

VI. Links

   A. TTAA Responsibility
       a. The Texas Tech Alumni Association is not responsible for the content or the privacy policies of web sites to which it links.
