The Office of Alumni Affairs Class Notes Assistant Joanne Smith and I have created this page as a one stop resource for your questions regarding the processing of class notes.  Please email us with suggestions and comments. In the space below, we would like to insert some pictures of class secretaries.  If you have any digital or hard copy photos, please send them to us and we will get them up on this page. In the coming weeks, we will include additional information including style procedures and editing helpful hints.  Please let us know what else we can add to make this a useful resource for all.

Staff Attendees: Maggie Carbone, Alumni Communications & Web Coordinator; Joanne Smith, Class Notes & Administrative Assistant; Sharon Magnuson, Asst. Director of Editorial Services

Alan Cantor opened the meeting by asking attendees to introduce themselves and to share a favorite Abbot/Andover anecdote. Al provided attendees with the agenda for the meeting. (See attached)

Stefanie Scheer Young then began the discussion with, ?We are familiar with the traditional class notes in the Bulletin. What other forms of electronic communications, including class Web pages, make sense?? Roxane Douvos suggested blogs (another way of chatting online) to work up interest for Web pages and making it more user friendly. It was noted that class pages could post links to blogs rather than allow blogging to be part of a class page, but who will manage/take responsibility for information that is not factual? Do we have a disclaimer? Maggie Carbone noted that when alumni register in BlueLink, there is a disclaimer in the registration agreement, but will have it reviewed to see if the agreement covers such cases where information noted is not the responsibility of the page editor or the Academy.

When asked, Maggie Carbone stated that a year ago there were five class and chapter Web page editors and now there are 32?a significant increase in 12 months. She expressed concern that volunteers often take on the role of Web page editor in preparation for their class reunions, but after reunion they tend not to maintain the page, unlike class secretaries who update class notes three times a year. When a Web page editor completes a class page, Alumni Affairs provides a list of classmates? e-mail addresses so the class secretary or Web page editor can ask classmates to view and bookmark their pages. Web pages can have links/pictures of upcoming reunion plans or local events. It was also suggested that a successful Web page should be dynamic?with the ability to be accessed and updated by all classmates. Sara Donelan used her Facebook group, PA2005, as a good example of continued interest and participation from her class. She noted that it is easy to update, applies to her group only, and that pictures and e-mail addresses are easily updated within this group. Sara also noted that this is an excellent way to get news for Class Notes.

On the topic of getting news from classmates, making phone calls to classmates has proven successful for a few secretaries: ?If a guy picks up a phone, he has to talk to you.? ?One call leads to another,? someone else added. Bill Kummel noted it is a good idea to avoid getting news from the same people for every submission. He suggested the wheel method? systematically contact every member of your class every 3-5 years (depending on the size of the class). Cynthia Kimball cautioned the group that one of the challenges of being a class secretary is the responsibility to ask a classmate which news is personal and which is approved to be published in the Bulletin.

Al Cantor introduced Grace MacMillan and recognized the span of years between the Classes of 1930 and 2007?a range of 77 years! Every decade between 1930 and 2007 was represented at the meeting.

Sharon Magnuson thanked attendees for their valuable service to their classmates and the Academy and reminded them that the Class Notes are the most read section of the Bulletin. Sharon spoke about photo guidelines and typical edits to class notes. She answered questions and provided attendees with the enclosed handouts.

Joanne Smith handed out the 2008 deadlines and spoke of helpful hints when writing and submitting class notes. Joanne answered related questions and also provided attendees with handouts. She also thanked the class secretaries for their contributions.

After a brief question and answer period, Al Cantor thanked everyone for their participation and reminded everyone of the reception and dinner at Commons beginning at 6 p.m.
